Let repeat work run on its own.
A workflow carries out a series of steps for you: on a schedule, when something happens in Byna, or when you press start. Build it in the editor, start from a template, or describe what you need and let AI draft it.
Choose where a workflow starts
Every workflow begins with one trigger: an event in your account, a fixed moment or the run button. The workflow then knows which invoice, quote or contact the event is about, and every next step works with the same one.
- On an event, such as a paid or overdue invoice, an accepted quote, a signed contract, a submitted form or a booked appointment
- On a schedule: every hour, day, week or month at the time you choose, in your own time zone
- By hand, with the run button in the editor
- With the Garage app also on a new work order, an APK about to expire or a recall from the RDW
Write the email once, with merge tags
Write the mail in the editor with tags for the contact, the document and yourself. Byna fills them in per recipient and attaches the invoice, quote or contract as a PDF when you switch that on, in the language of the contact.
- Tags for the contact, the invoice or quote and your own company name
- The invoice, quote or contract attached as a PDF, in the language of the contact
- To the contact of each item, to yourself or to a fixed address, such as your accountant
- A text written by AI in the tone you choose, from professional to friendly
From idea to a running workflow
Describe it or pick a template, test it without sending anything, and follow every run in the log.
Describe what you need
Type in plain words what the workflow should do. AI builds the draft with the right steps and leaves notes on what to check.
Start from a template
Over fifteen ready-made templates, from a welcome mail for new contacts to a weekly summary of open invoices and a quarterly VAT reminder. Change what you want and switch it on.
Test without sending anything
A test run shows per step how many items pass, which emails would go out and why one is skipped. Nothing is sent or saved.
Every run in the log
Per run you see the steps, the emails and every skipped or failed send with its reason. After repeated failures the workflow pauses itself and you get a notification.
Limits that protect your contacts
Every workflow has limits you set, so nobody gets mail too often or at the wrong moment. Every send, skip and failure lands in the delivery log with its reason.
- A maximum per run and per day, and a pause per recipient between two mails
- Once per recipient, for good, for a welcome mail or a review request
- A send window, such as working days between 08:00 and 18:00
- Unsubscribed contacts and contacts without an email address are skipped, and after repeated failures the workflow pauses itself
