Fair use policyLast updated: 7 July 2026This fair use policy describes what reasonable use of the Byna platform means. It forms part of our terms of service and is intended to keep the service fast, secure and affordable for all users.1. ScopeThis policy applies to all parts of Byna, including storage, email sending, AI features, the document scanner, public forms and the API connections the platform uses. It applies to every user and every team member working under an account.2. Starting point: normal business useByna is intended for managing your own business administration. By normal use we mean the usage that is customary for a business of your size: managing your own clients, invoices, agenda, projects and documents. Subscription limits (such as the number of AI credits or scans per month) are part of your plan; this policy covers use that circumvents those limits or the spirit of the service.3. Reasonable use of system resourcesTo keep the service working well for everyone, the following applies:

Storage is intended for documents and files that belong to your administration, not as general backup or media storage.

Email sending via Byna is intended for business communication with your own clients and contacts, such as invoices, quotes, appointment confirmations and reminders.

AI features (assistant, document scanner) run on credits that belong to your subscription. It is not permitted to circumvent technical limits, credits or counts, for example through automated requests.

Automated use (scripts, bots, scrapers) that overloads the platform or bypasses its security is not permitted.

4. Not permittedThe following types of use are never permitted:

Sending spam, unsolicited bulk email or messages to recipients who have not asked for them.

Storing, processing or distributing content that is unlawful, misleading, infringing or harmful.

Uploading or distributing malware, viruses or other harmful code.

Reselling, renting out or making the service or account access available to third parties, other than to your own team members.

Circumventing security, limit or billing mechanisms, or sharing one account between multiple businesses to avoid plan or usage limits.

Using the platform to process personal data in violation of the GDPR or other applicable legislation.

5. What happens if the policy is exceeded?If we suspect unreasonable or prohibited use, we will where possible contact you first to find a solution, for example a more suitable subscription. In case of serious or repeated abuse, Byna may restrict features, slow down requests or suspend or terminate the account in accordance with the terms of service. In case of unlawful use, Byna may report it and provide data where a legal obligation to do so exists.6. ChangesWe may update this fair use policy from time to time, for example when we add new functionality. The most current version is always available on this page.
